Job Description:
WHAT YOU'LL DOThe Executive Assistant serves as the primary
point of contact for internal and external customers on all matters
pertaining to the President of Regional Banking and the President
of Busey Wealth Management.Specific to Executive Assistant
I:Completes a broad variety of administrative tasks for the
President of Regional Banking and the President of BWM including
managing an extremely active calendar of appointments; completing
expense reports, composing and preparing correspondence that is
confidential in nature; arranging complex and detailed travel
plans, itineraries, agendas, and compiling documents for
travel-related meetings.Plans, coordinates and ensures the
executive's schedule is followed and respected.Based on geography,
may act as back up to other Regional and Market administrative
staff when needed; including, but not limited to:Scheduling and
setting-up internal meetings/conference calls/catering as
requiredActing as liaison for office facilities and maintenance
issuesActing as liaison for vendors and ensure payment of
office-related invoicesSpecific to Executive Assistant II:The Level
II EA will execute the above duties when needed, and will also
provide a bridge for smooth communication between the executive's
and internal departments; demonstrating leadership to maintain
credibility, trust and support with senior management
through:Providing a "gatekeeper" and "gateway" role, creating
win-win situations for direct access to the executive's time and
office.Communicating directly, and on behalf of both executives,
with internal and external customers on organizational initiatives
and other relevant matters.Researching, prioritizing, and following
up on incoming issues and concerns addressed to the executives,
including those of a sensitive or confidential nature; determines
appropriate course of action, referral, or response.Working closely
and effectively to be well informed of upcoming commitments and
responsibilities, following up appropriately; acts as a
"barometer," having a sense for the issues taking place in the
environment and keeping executives updated.WHAT YOU'LL
BRINGSpecific to Executive Assistant I:Strong organizational skills
that reflect ability to perform and prioritize multiple tasks
seamlessly with excellent attention to detailExpert interpersonal
skills and the ability to build relationships with
stakeholdersExpert level written and verbal communication
skillsProactive approaches to problem-solving with strong
decision-making capability; forward thinking and actively seeking
opportunities and proposing solutionsNavigate confidential
information with discretion and be adaptable to various competing
demands; demonstrate the highest level of customer/client service
and responseMicrosoft Office Suite, UKG, Org Chart Now, Visio,
Adobe, Chrome River, Synapsys, etc.Specific to Executive Assistant
II:The Level II EA will lead with the above competencies, as well
as the following:Execute as a highly resourceful team-player, with
the ability to also be extremely effective
independentlySuccessfully complete critical aspects of deliverables
with a hands-on approach, including drafting market or regional,
personal correspondence, and other tasks that facilitate the
executive's ability to effectively lead the company.On behalf of
the executive's, prioritize conflicting needs; handle matters
expeditiously, proactively, and follow-through on projects to
successful completion, often with deadline pressures.Provide
leadership to build relationships crucial to the success of the
organization and manages a variety of special projects for the
President, some of which may have organizational impact.Achieve
high performance goals and meet deadlines in a fast paced
environmentEDUCATION, TRAINING & STANDARDS OF PERFORMANCEBachelor's
degree preferred; Associate degree required3-5 years of experience
supporting C-Level Executives requiredWORK ENVIRONMENT: Duties are
performed in an office setting and include physical demands such as
the manual dexterity and skill to operate standard office
